Business Support Coordinator

One of R&M branches located in Aberdeen is looking to employ a Business Support Coordinator to join their busy team.
R&M are the largest independent Electrical Distributors in the UK. Beside our 8 UK stocking branches, we have specialist Projects and Exports divisions as well as in-house fixings, cables, lighting and assembly divisions. This Group offering allows us to provide a solution for all electrical requirements domestically and overseas.

Monday - Friday 8.00 - 5.30 (with one hour lunch break)

**Main Duties**:
Main responsibilities to include (but not limited to):
- Identifying documentation requirements.
- Submitting documentation to the relevant clients within prescribed timescales.
- Liaising with client sections and manufacturers.
- Providing general administrative support.
- Liaising with manufacturers, suppliers and client project staff to ensure all material meets technical and quality requirements and delivery timescales.
- Undertaking material inspections with client appointed representatives.
- Managing Project logistics role and ensuring all goods are correctly export packed and prepared.
- Preparing and submitting all export related documentation to ship goods from global manufacturing sites to nominated destinations.
- Providing support on other functions as required by the management team.
- Using R&M company IT system and any partner systems associated with Projects.
- Preparing and submitting reports as needed or requested by client and for Joint Venture partners.
- Maintaining up to date knowledge of, and complying with all relevant R&M systems, Health & Safety, Environment, Quality and Personnel policies.
- Creation and maintenance of client / project expediting schedules.
- Liaising with manufacturers, suppliers, and client project staff to ensure all material meets delivery timescales.
- Assisting with client inspections; preparation of pre-inspection documentation, and checking of material readiness for inspections.
- To ensure that the customers’ orders are progressed successfully through production to meet their required delivery dates.
- To look at lead times specified on works orders to ensure that the customers required dates can be met, based on if purchase orders have to be raised and what that means to the dates advised to the customer. If there is an issue then initially discuss with Sales to see if a solution can be achieved, if not then liaise with the customer to advise.
- To chase the purchase orders raised to ensure that the Orders are delivered in time to meet the customers required date. If there is an issue then advise the customer as soon as aware of the issue.
**Key Skills**:
- Excellent written and verbal communication skills
- High levels of attention to detail
- IT literate, particularly in Microsoft office programmes and Adobe
- Ability to work efficiently under pressure and prioritise tasks accordingly
- Ability to work on own initiative and as part of a focused and dedicated team
**Training**:
Training will be given on all aspects of the liaison with suppliers & customers and any additional IT required.
