An opportunity has arisen for an enthusiastic and highly motivated individual to join the Clinical Support Services Team, based at Heart of Hounslow Centre for Health, Hounslow.

We are seeking to appoint a dynamic individual to work within our fast-paced service. Applicants should be able to demonstrate evidence of their organisational skills, be a committed team player with the ability to prioritise their own workload, and work well under pressure. Excellent interpersonal and communication skills are essential with the role requiring high levels of face-to-face and telephone communication. Good IT skills are essential with outlook, word and excel.

The Clinical Support Services Teams provide a daily service from 7am to 8pm, seven days a week and this includes all weekends and bank holidays.. This role is to support the team to deliver an excellent service to members of the public, support Adult and Children’s Clinical Services and other external organisations based in Health of Hounslow.

The successful applicant must be flexible, adaptable, and have a willingness to embrace change as and when required. The ability to use initiative when dealing with unexpected situations is also an advantage.

A full Induction and training will be provided on commencement.
- To receive all visitors of the building with courtesy and with efficiency, directing them as appropriate and acting as a focal point for enquiries. Support/move patients using correct procedures & PPE.
- Operate the switchboard directing calls to appropriate extensions, dealing with telephone enquiries and recording messages when required.
- Sort and re-direct incoming post and sort outgoing post on a daily basis. Franking machine maintenance. All post room duties including franking & internal courier packing.
- Unlock and lock front doors during opening hours in line with building procedures. Set/unset alarm systems upon entry Unlock doors across the building ready for clinics. Check security & maintenance issues for the building.
- To work in co-operation with all administrative staff within the Trust to encourage teamwork to support and help each other to maintain a smooth running, professional service to the public and professional staff

Infection Control

- Review and update reception information as required for the benefit of the public and staff.
- Carry out photocopying and faxing duties as required. Xerox machine maintenance & simple fixes.
- Implement and maintain the clerical and filing systems.
- Maintain the system for ordering stationery for the building, using procedures already in place and adding to them as appropriate to enhance the service.
- Order and monitor the replenishment of stock levels. Unload & deliver all supplies for the building.
- Receive, unpack, check and store all stock, non-stock requisitions and items of office furniture, stationery etc that are received. Move furniture when required. Minor maintenance tasks, (table, shelf repairs etc).
- To act as the contact and liaison point for maintenance requests to the Estates Department and outside contract services.
- To communicate with Trust staff, health promotion and other professionals to ensure all public display notice boards are renewed and kept up to date.
- To assist in ensuring that Health & Safety policies and procedures are followed within the clinic/department setting.
- Responsible for Fire Co-Ordinator duties in the buolding as per fire procedures. Fire Marshall duties.
- Maintain the COSHH Register for the building
- Ensure meeting rooms are kept clean and tidy at all times and make sure refreshments are kept well stocked. Set up training, office & clinical rooms.
