**Key Coordinator**

Our Key Coordinator is responsible for the control and management of all keys for our managed portfolio (over 2500 properties). Successful management of this area of the business ensures all tenants are issued with the correct keys when moving in, contractors are issued the correct keys in a timely fashion for jobs they are instructed on and that all keys are chased and returned to our key room as soon as possible.

Experience in Lettings or Property Management is an advantage but not essential for a bright, enthusiastic person.

Main duties (all utilising our CRM system):

- Signing keys both “in” and “out” to the relevant parties: contractors, tenants, Landlords, Philip James staff etc.
- Managing all signed out keys: ensuring they are returned to the office within the agreed time frame.
- Liaising between various relevent departments to ensure keys are available when required.
- Ensuring all tenants who are vacating properties return the correct keys in the correct time frame.
- Preparing keys for contractors in advance of their appointments.
- Preparing keys for our Inspections Clerks in advance of their appointments (move outs, interim inspections etc).
- Tagging up new keys and adding them to our system.
- Ensuring the “key room” where all keys are stored is kept tidy and clear and that keys are stored in the correct place.
- Using our local locksmith to cut new keys where necessary.

As with all roles at Philip James, the duties and responsibilities above are not definitive and the Key Coordinator may be required to assist with other duties across Property Management as and when required.

Working hours are 9am to 6pm Monday to Thursday, 9am to 5pm on Fridays and 10am to 4pm on Saturdays. The successful applicant will work one in three Saturdays on a rota basis.
