We're looking for an experienced, highly organised and motivated EA Manager to manage our talented EA team and provide top-notch EA support to our COO.

You'll wear two hats in this role: leading the EA team to success while also providing direct EA support to our COO. This means being both a mentor and a hands-on contributor, setting the standard for excellence by doing the work alongside the team.

This isn't just about managing calendars and emails (though that's important too). It's about shaping how the EA team works, empowering them to anticipate needs, and finding ways to make things run more smoothly for everyone. You'll be the glue between the EA team and our execs, making sure both sides feel supported and aligned. You'll coach, guide, and cheer on the EAs so they can take their impact to the next level, all while keeping things running smoothly in your own EA role.

What's the opportunity for an Executive Assistant Manager at Gearset?

  • Support and grow our fantastic EA team: Play a key role in their continued development, ensuring we meet the needs of the business as it scales.
  • Shape the EA role at Gearset: Define and drive its evolution to meet the strategic needs of the company.
  • Partner closely with our COO: Provide top-notch executive support and help deliver key strategic projects on their behalf. By taking a proactive approach to your EA responsibilities—anticipating needs, spotting potential issues, and solving problems before they arise, you'll role model what excellent support looks like in action.
  • Balance priorities: Manage the team's day-to-day responsibilities alongside project-based work, ensuring resources are allocated effectively.
  • Collaborate with senior leaders: Build strong partnerships across the business to identify where the EA team can make the biggest impact.
  • Champion Gearset's values: Lead by example, fostering a collaborative, high-performing culture in everything the team does.

What you'll achieve

  • Drive the evolution of the EA role: Lead by example in shaping how the EA team supports the growing needs of the business and executive team, with a focus on capacity planning and involvement in strategic initiatives.
  • Deliver seamless executive support: Provide exceptional diary management, call scheduling, email triaging, and other administrative support to ensure the executive team can operate at its best. By understanding their goals and preferences you'll make their day-to-day life easier.
  • Organise unforgettable company-wide events: Project manage key events like GGG (Gearset's company-wide gatherings), the Summer Party, and milestone celebrations, with the support of the EA team.
  • Collaborate with the COO on key initiatives: Support the COO with company wide communication and coordination of company initiatives.
  • Own company travel: Manage the overall company travel process, policy and budget
  • Ensure smooth OKR and QBR execution: Facilitate the consistent execution of these processes across teams, driving alignment and focus on delivery of company-wide goals.
  • Always look for better ways to do things: You'll spot opportunities to streamline processes, make things more efficient, and generally make everyone's lives easier.

About you

  • You've been an EA at a senior level and have managed a team of EAs before.
  • You get what execs need and know how to help EAs to meet those needs.
  • You're a natural leader who can build trust, give feedback, and help people grow.
  • You're organised, proactive, and great at spotting ways to improve how things are done.
  • You're comfortable balancing leadership responsibilities with rolling up your sleeves to deliver exceptional strategic EA support.
  • You're a strong communicator and can keep things running smoothly, even when priorities shift.
