Cambridgeshire and Peterborough have an exciting opportunity for a talented and experienced administrator to join the Training Hub team supporting and coordinating the planning of a range of administrative duties.
Cambridgeshire and Peterborough Training Hub is a dynamic and fast growing NHS organisation set up to help our local practices attract, develop and retain people to work in General Practice across the county.
Hosted by Greater Peterborough Network (GPN), we have an office base at: Allia Future Business Centre, Peterborough United Football Club, London Road, Peterborough, PE2 8AL
Main duties of the jobThe successful candidate will be required to understand, promote and coordinate administrative duties for general practice across all levels by:
- Providing guidance and support to the Training Hub manager.
- Monitoring online platforms.
- Supporting the Training Hub in the delivery of training events.

The Training Hub is hosted within Greater Peterborough Network, the GP Federation for Peterborough, an ambitious at scale primary care organisation with a passion for integration and innovation.

Job DescriptionJob responsibilitiesCommunication/Customer Service and Team workingEngage GP practices and their staff across Cambridgeshire and Peterborough. Communicate with people at all levels in an appropriate manner that is consistent with their level of understanding, culture, background and preferred way of communicating.
Act responsibly as a team member and seek help where necessary. Always present a positive image of self and of the Training Hub by being welcoming and maintaining a professional attitude.
Be an active and supportive member of a team, punctual and well presented. Respond to telephone and email queries from stakeholders.
AdministrationMonitor NHS C&P email ensuring all emails associated with the Training Hub have been actioned.
Update and monitor the Training Hub website with information, events and resources.
Demonstrate good organisational skills and prioritise work as necessary. Keep accurate and complete records in a written or electronic format consistent with legislation, policies and procedures.
Routine filing and storage of confidential documentation as required. Undertake any other administrative duties specified by the Training Hub Project Manager.
Support the Training Hub Manager in producing and highlighting performance reports. Minute all Training Hub meetings, update Action Logs and support and remind owners to complete actions on time.
Support the Training Hub Project Manager in co-ordinating and recording project or workstream records. Support the Training Hub in the delivery of training events.
Source training venues; act as a single point of contact for the Training Hub and respond to enquiries. Collate relevant data and information. Maintain up to date training plans, reports and records.
Planning and OrganisingWork within the limits of own competence and responsibility and refer issues beyond these limits to relevant people. Use and maintain resources efficiently and effectively.
Prioritise own workload and organise own work to meet these priorities and reduce risks to quality. Maintain a safe and tidy working environment.
People and ResourcesSupport colleagues to help meet work demands and ensure training hub work is being completed. Identify, with the help of others, tasks required within own job role.
Recognise areas of self-improvement and seek support to develop. Undertake mandatory/statutory training as and when required by GPN policy. Participate in appraisals and agree a personal development plan.
General StandardsAdhere to GPNs policies and procedures. Treat all information in accordance with the General Data Protection Act 2018. Report any area of concern to the Training Hub Project Manager.
The job description will be reviewed annually by the Line Manager and may be amended after discussion with the post holder. This role profile is intended as a guide to the main responsibilities of the post, and the post holder will be required to undertake such duties appropriate to the position as may be required by the Line Manager to ensure the smooth running of the service.
Health and SafetyWithin their own area of responsibility, the post holder will be responsible for assessing the risks to the health and safety of staff, and visitors or to the achievement of GPNs objectives. The post holder must ensure that identified risks are reported so that significant clinical and non-clinical risks are included in GPNs Risk Register.
Dignity at WorkBe responsible for their own behaviour. Be aware of GPNs Anti-Harassment and Bullying policy. Comply with requests to attend training and similar activities in support of the policy.
Comply with requests for information regarding harassment and bullying in GPN as required. Treat all colleagues and customers/clients in a manner which meets equal opportunities and good practice.
Person SpecificationExperienceEssential- Demonstrable experience of supporting multiple projects or initiatives.
- Significant and demonstrable administrative experience.
- Experience of managing and updating websites.
- Demonstrable experience of taking minutes at meetings at all levels.
- Demonstrable experience of developing and managing relationships with a variety of stakeholders.
- Experience of working in NHS or Learning and Development.
- Experience of managing a corporate social media platform.
- A Level or equivalent level education or ability to demonstrate competency at this level.
