Job description
We're currently seeking a dedicated Facilities Administrator to join their team on a permanent basis. As the Facilities Administrator, you will play a crucial role in ensuring the smooth running of the site and supporting various business functions.
About the role:
You will be responsible for undertaking reception duties, including following company policies and procedures, welcoming visitors, and issuing visitor passes.
Additionally, you will process incoming mail, maintain documentation, and provide accurate and current management information for decision making. Taking minutes of meetings, responding to routine queries, and providing administrative support to other business functions as required will also be part of your responsibilities. You will work closely with the Facilities Supervisor to ensure a safe and functional environment.
Key responsibilities:
Reception Excellence: Be the first point of contact, embodying our company's ethos with every visitor interaction. You'll flawlessly execute reception duties, adhering to our policies and procedures. Visitor Management: Welcome visitors with warmth and professionalism, guiding them through our security protocols with ease. Issue and retrieve visitor passes efficiently, maintaining our site's security standards. Mail Mastery: Handle incoming mail with precision, following our established procedures to ensure prompt processing. Documentation: Keep our documentation up-to-date, providing vital management information that fuels informed decision-making. Meeting Maestro: Capture meeting minutes accurately and promptly distribute them to keep stakeholders in the loop. Information Hub: Serve as a knowledgeable resource, offering guidance and clarity on procedures and processes to all who seek it. Versatile Support: Provide administrative assistance across various business functions, ensuring smooth operations company-wide. Safety Partner: Collaborate with the Facilities Supervisor to maintain a secure and functional environment, prioritising the safety of all.What are we ideally looking for?
