We're partnering with a well-known global consumer goods business on their new EA to the CEO. This will be a hybrid role (London office). Salary circa £70,000 plus 15% bonus, private medical and pension. A fantastic opportunity to join this successful global business in a truly impactful role.

About the role

The Executive Assistant role provides comprehensive support across the broad scope of the CEO office.

Provide effective, proactive and comprehensive support to the CEO in managing their agenda, priorities, and interactions with key internal and external stakeholders. Support the CEO with the effective management of the Executive Team agenda. Understanding of the CEO role and priorities and business strategy in order to effectively run the CEO office and Executive team Deploy exceptional organizational skills, a keen eye for detail, and the ability to handle confidential information with discretion.

The ideal profile for this role is a highly skilled and professional Executive Assistant. The role requires a proactive individual who can manage a diverse set of responsibilities in a dynamic, fast-paced environment and has a deep understanding of the priorities of a CEO office.

Key responsibilities

Administrative Support:

Manage and prioritize the CEO's calendar, including scheduling meetings, appointments, and travel arrangements and preparing the agenda for trips; proactively make arrangements in support of the CEO's priorities with minimal direction and resolving conflicts as they arise Familiarity with core processes, governance and policies and their application to support execution of day-to-day operations Manage expenses, handle invoices and raise purchase orders related to the CEO & team in a timely manner Prepare and organize documentation including preparation of materials in advance of meetings, including Board meetings (eg. agendas, presentations, talking points, meeting briefs). Act as a buddy when required to onboard EAs and provide mentorship and guidance as needed.

Communication:

Serve as the primary point of contact between the CEO and internal/external stakeholders, representing the business in these interactions. Handle incoming and outgoing communications, including emails and phone calls, in a timely manner with professionalism and confidentiality. Redirecting work appropriately into the organisation from the CEO office. Draft, proof-read and edit correspondence, reports, and other documents. Work with Corporate Affairs to execute the CEOs internal and external communications agenda – including investor community, broad range of external stakeholder engagement and any internal communications.

CEO Office & Executive Team Effectiveness

Support the CEO in the planning of executive team meeting agendas based on an understanding of the business' strategic priorities, ensuring an effective use of their time. Coordinate logistics for board meetings, executive team meetings, and other high-level engagements, including scheduling, attendees and proactively planning to ensure use of time aligns to business priorities Coordinate and collaborate with the Executive Team's EAs and other stakeholders to ensure agendas are effectively coordinated. Take minutes during meetings to build, monitor and coordinate appropriate action logs as required.

Project Management:

Assist the CEO in the planning and execution of strategic initiatives and special projects. Track and follow up on the progress of various projects, ensuring deadlines and outcomes are met and flagging key risks and follow up as required. Conduct research and provide analysis on key topics as requested by the CEO, including producing ad hoc reports as needed. As required organise or support logistics for conferences and events whilst adhering to the meetings policies, collaborating closely with internal/external parties.

Relationship Management:

Build and maintain strong relationships with key stakeholders, including board members, senior executives, external partners and other EAs. Organize and facilitate executive events and engagements.

Office Management:

Ensure the smooth operation of the CEO's office, including office supplies and equipment. Identify and implement improvements in administrative processes and systems to enhance efficiency. Proactively finding better ways to work, enabled by tech where possible. Adopt use of new technologies to improve performance & effectiveness as they come available. Remaining well connected to the Digital & Tech organisation to implement these.

Qualifications and skills

Bachelor's degree in Business Administration, Communications, or a related field or the equivalent experience Track record of experience in a C-Suite EA role in a corporate setting. Deliver to the highest standard of professionalism and in line with the business' values and culture Ability to handle sensitive information with the highest level of confidentiality. Able to demonstrate an understanding of the business' strategic priorities to manage CEO and executive team time. Excellent communication skills with a proven track record in effective communication with senior stakeholders and external stakeholders Strong interpersonal skills, effective collaborator with the ability to build high quality, high impact relationships at all levels. Strong written and verbal communication abilities. Exceptional organizational, coordination and time-management skills. Able to work at pace, navigate complexity and proactively solve problems with a high degree of professionalism and independence. Proactive, anticipating needs and requirements, with no prompting or guidance. Flexibility and adaptability to changing priorities. Ability to prioritise workload, working with tight deadlines whilst maintaining a high level of attention to detail and accuracy. Project management, reporting, and coordination skills Positive attitude and a willingness to go above and beyond. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Location:

Central London Some travel within UK to support CEO agenda. Ability to work from home when the CEO is out of office.
