Main duties of the job To provide asecretarial, administrative and clerical support service to the Child andAdolescent Mental Health Service (Young Minds Matter) Clinical Team withinNavigo.
The postholder will be pivotal in ensuring an excellent administrative service isprovided within agreed set time restraints.

assistin audio/copy type and format correspondence following clinical appointmentsand visits ensuring timescales are met and information is saved accurately onthe electronic system.
closely with the Administration Lead in assisting with administrative workrelating to referrals and discharges meeting set timescales as required by areaof service.
supportformat of all reports, letters, assessments, reviews, care plans, dischargesetc as pertinent to the work of the Team within set timescales ensuringclinical coding as appropriate and accurate saving to the electronic system.
incover of aspects of the role of the Administration Lead as and whenrequested/required.
workwithin set processes and guidelines to maintain efficient, accurate andconfidential record systems.
dealwith telephone enquiries from parents/carers and children and young peopleusing empathy, understanding, initiative, tact and tenacity where appropriateensuring accurate information is forwarded appropriately in order forappropriate care and follow up to be facilitated.
liaisewith a range of internal and external personnel on a daily basis includingClinical Professionals, children/young people and their Families/Carers, GPpractices, Consultants, Hospital departments and Health and Local Authoritystaff.
Person Specification Additional Criteria Essential Ability to communicate at all levels Excellent customer service skills with the experience and ability to deal with telephone enquiries from other Agencies, Service Users, their families and carers as well as Mental Health professionals Diary management skills Desirable Ability to deal with stressful situations and clients Knowledge Essential Understands the need for confidentiality Understanding of client group Desirable Knowledge of mental health services Knowledge of hospital administration systems Previous customer service role Experience Essential Team Working Maintaining databases and spreadsheets Desirable Previous NHS secretarial/ administrative experience and knowledge of hospital administration procedures Experience/willingness to undertake training in use of electronic systems Experience of working in a team Qualifications Essential Educated to GCSE level grade A to C or equivalent including Mathematics and English Language RSA/OCR Grade 3 Typing/Word Processing standard Knowledge & Understanding Essential Understands the need for confidentiality Understanding of client group Desirable Knowledge of mental health services Working knowledge of CPA Knowledge of hospital administration systems Previous customer service role
