Job summary Expected Shortlisting Date: 23/12/2024 Planned Interview Date: 10/01/2025 Perioperative Medicine is the practice of patient-centred, multidisciplinary, and integrated medical care of patients that takes place before, during and after surgery.
Shape Up 4 Surgery was established at LTHT to proactively targeting individuals waiting for a surgical procedure whose health outcomes can be improved through supporting their health and wellbeing.
The supported Shape Up 4 Surgery programme is an innovative approach to supporting patients, it involved utilising trained volunteers to contact patients on planned care waiting lists to engage in healthy lifestyle conversations and to connect patients with resources in their local area.
A long-term vision for the programme is the development of a joined-up volunteering approach and shared commitment to supporting people on planned care waiting lists across the city, to give volunteers a platform to support improving population health in Leeds.

Main duties of the job The Project Manager will be responsible for management of the supported Shape Up 4 Surgery (sSU4S) programme on a day-to-day basis.
The post holder will develop and deliver effective processes, procedures, and management tools to enable successful project delivery.
The sSU4S Project Manager is the operational lead for all aspects of maintaining a volunteer workforce within the Trust to support the delivery of the programme.
The post holder will be responsible for all aspects of recruitment, development, and appraisal of the volunteer workforce in the sSU4S programme.
As the project manager you will lead the design and delivery of systems to ensure successful delivery of the programme as well the collation and reporting of data, evidence, and assurance regarding its performance.
Analysis of performance and volunteer activity will be reported Trust wide and to other city partners.
A key part of this role is the ability to form and maintain working relationships with a wide range of staff across the Trust and with external advisors and stakeholders.
One aim of sSU4S is to create collaboration between the Trust and community offers, to enable seamless referrals between the community and the LTHT sSU4S volunteering teams.

Job description Job responsibilities The Project Manager will be responsible for the project management of the supported Shape Up 4 Surgery programme on a day-to-day basis.

The supported Shape Up 4 Surgery Project Manager is the operational lead for all aspects of maintaining a volunteer workforce within the Trust to support the delivery of the programme.
The post-holder is responsible for ensuring that people, processes, and systems are in place to recruit and support a volunteer workforce in line with strategic direction, providing assurance that all safeguards, policy and statutory requirements are met.
The post-holder will develop frameworks within which agreed project outcomes can be delivered.
JOB DIMENSIONS To manage and monitor the delivery of the supported Shape Up 4 Surgery programme to agreed time, cost, and quality standards.
The post holder is responsible for the operational management of the supported Shape Up 4 Surgery team which will comprise of two substantive staff supporting a volunteer workforce able to gift ~400hours/week.
To continuously perform data analysis to identify sufficient and appropriate resources required to deliver the supported Shape Up 4 Surgery programme to the current pilot areas and its expansion across the wider organisation.
To manage the development and implementation of appropriate and effective project structures To manage the development and implementation of appropriate and effective project control mechanisms, including programme management, risk management, cost control, variation management and change control, construction monitoring and post project evaluation.
To identify and record project issues and risks and recommend suitable courses of action for resolution and mitigation.
To report effectively to the Clinical and Operational Lead for Perioperative Medicine and the Deputy Volunteer Services Manager and with the wider Trust at Planned Care Board, Medical Directorate meetings and to other key stakeholders.
To monitor the delivery of the supported Shape Up 4 Surgery programme within the Medical Directorate, liaise with the Voluntary Services team and across the wider organisation.
To motivate and direct the input of individuals contributing to the project, this will include substantive staff and a volunteer workforce.
To identify and obtain any support and advice required for the management, planning and control of the supported Shape Up 4 Surgery programme.
To be responsible for project administration Line manage the substantive staff within the supported Shape Up 4 Surgery programme as the team is recruited.
Physical Skills The Project Manager will have standard keyboard skills, as well as experience in the use of spreadsheets and project programming or scheduling presentation packages.
Responsibilities for Financial and Physical Resources The post holder will have financial responsibility for: Monitoring of project costs and expenditure against budget Identifying resource requirements and negotiating for appropriate resources on projects Monitoring and obtaining authorisation for expenditure Implementing and managing effective cost management processes Implementing and managing effective change management and variation processes Supporting the tendering and selection of external advisors and contractors as appropriate Responsibilities for Human Resources The post holder will support the day to day management of external advisers and Trust inputs to projects.
The post holder will contribute as appropriate to individual/team development.
The post holder will be responsible for ensuring all aspects of recruitment, development, and appraisal are undertaken in accordance with Trust policy and procedures for the volunteer workforce in the supported Shape Up 4 Surgery programme.
Core Behaviours and Skills Although a line manager has been identified for this post, the projects managed within this post requires the post holder to work across projects and work streams, reporting to different individuals on different issues.
In some areas the post holder will lead work and in others will support and report.

Main Duties and Areas of Responsibility Planning and Organisation The post holder will: Manage and monitor the delivery of one or more projects Manage and monitor the delivery of projects to agreed time, cost and quality standards Identify the required resources for projects, both within the project team and across the wider organisation Contribute to the establishment of project management frameworks and structures for the defined project(s).
Develop, agree, implement and monitor appropriate and effective project control mechanisms, including programme management, risk management, cost control, variation management, construction monitoring and post project evaluation Manage and input to the delivery of Project Briefs Input to the delivery of Project Initiation Documents, Business Cases and procurement documents ( Memorandum of Information, Invitation to Negotiate) in line with best practice and guidance Implement and deliver effective risk management and mitigation procedures and processes Report effectively to the Clinical Lead and Deputy Voluntary Services Manager Monitor the effective management of external project advisors, Trust users and wider stakeholders and highlight issues for resolution Make recommendations about future courses of action Provide regular tangible evidence and assurance to the Trusts Executive and Board concerning the deployment of volunteers across the Trust.
Develop, operate and support effective change management processes Provide regular reports on progress within the reporting structure, including highlight, end stage and lessons learned reports Monitor the production of project deliverables Liaise with the Project Leads to ensure that the overall direction and integrity of the project is maintained Input to technical and quality strategies with appropriate members of the project team Manage the input of external advice into projects in a timely and appropriate way Perform team management and project support roles as necessary Responsibilities for Policy and Service Development Implementation The post holder will: Contribute to the development of project documentation to ensure the incorporation of best practice and current developments Monitor the delivery of projects in accordance with Trust and office policies, strategies and procedures Highlight issues that may affect the design and technical specification and ensure these are appropriately addressed.
Provide documentation and reports to record actions taken in the design and technical development and highlight lessons for future projects Contribute appropriately to the development of technical issues and policies/strategies Oversee general communication with the volunteer workforce concerning welfare, engagement and/or celebration.
Liaise with community organisations and similar potential sources of volunteers.
Utilise social media to promote volunteering successes and opportunities.
Ensure systems and processes are in place to enable the Trust to meet strategic and statutory obligations in relation to volunteer support for patients, carers and the public.
Fulfil LTHTs Volunteer Strategy through delivering sufficient volunteers who meet core requirements and the Leeds Way values.
Demonstrate control of the Trusts volunteer workforce in terms of placement and activity, and that adequate information is held about each volunteer, including all safeguarding provisions.
Resolve issues, concerns or complaints that may arise between the Trust and volunteers, either collectively or individually.
Develop processes to monitor volunteer engagement and support general welfare, acting on feedback accordingly.
Person Specification Other criteria Essential Able to fulfil Occupational Health requirements for the post (with reasonable adjustments if necessary), including clearance on blood borne viruses in compliance with Trust Policy Experience Essential Experience in a Project Management post Working knowledge and experience of project management General knowledge of NHS services Understanding of relevant national and local policies, and volunteering and best-practice.
Clear understanding of pre-employment safeguarding processes, including DBS.
