We are working with a Tier 1 European intellectual property law firm in their search an experienced patent secretary / patent administrator. In this role you will be required to provide full PA and administrative support to a team of fee-earners/attorneys of mixed seniority.Duties will include:Liaising with fee-earners regularly to review progress, discuss upcoming work, and provide updates on outstanding matters. Dealing with cases independently where possible actioning daily prompts.Inbox management. Diary management to include scheduling in-person and virtual meetings, preparing relevant papers and presentations, and managing all associated logistics eg room bookings, refreshments, and liaising with internal teams.Managing extensive international travel itineraries, coordinating flights, accommodations and schedules.Preparing invoices Attending team meetings and practice group meetings.Preparing standard letters and emails.Assisting with file management: including liaising with Records to open new cases, update special instructions, scanning and managing case filesProactively preparing official forms for UK, European and international patent and design applications and some foreign patent applications.Liaising with clients and the EPO directly where necessary.For this position we are seeking someone with previous experience as a Patent Secretary, Patent Administrator or Legal Secretary within an IP team. You must be proactive with the ability to work on own initiative as well as being a strong team player. Have excellent communication skills, both written and verbal. Be organised, able to prioritise, meet tight deadlines and work under pressure.In return the firm offer a healthy work/life balance and a collaborative, friendly and sociable working environment.
