Working Hours: Monday to Friday - 8:30am to 5:00pm

In this busy and exciting role, you will provide administrative and coordination assistance to support the smooth running of our Newark and Spalding Finance Shared Services offices.

Role Accountabilities

Provide a single point of contact for administrative issues and/or requests from Finance Shared Services Leadership team
Act as the single point of contact for all issues and/or requests and escalate these issues when required
Provide oversight on the progress of reported issues/requests, liaising with third parties and site services where necessary in order communicate to FSS colleagues Continual improvement of the services
Liaise with the stakeholders to continuously improve the services provided to or on behalf of FSS Stationery management
Includes managing stock levels, ordering items and dealing with booking requests and return of equipment for both the Shared Services offices. This includes but not exhaustive: kitchen supplies, catering, toners, office supplies
Manage the meeting room & hot desk booking system
Accepting in delivery of stationery Purchase Order Management
Raising PO's as required for Finance Shared Services
Receipting goods in through Protean Assisting with FSS Travel Requirements
Booking travel for FSS Leadership team Process Visitors
Responsible for registering and managing visitors
Administrator of door access system (starters/leavers etc)
Be an ambassador for Bakkavor, ensuring that the visitor experience is professional and positive Process post
Ensure the daily post is collected, distributed and dispatched Meeting room management
Central oversight of meeting rooms and assistance to book if required
Ensure that the rooms have been left in an acceptable state by out-going users and are fit for use by in-coming users
Work with meeting organiser to arrange catering for bookings (where applicable) Manage Internal Communications to Colleagues
Own SharePoint page and update with key business information regularly Administration Support
Support Administration activities for Finance Shared Services Leadership team About you

Ideally, you will have previous experience within a similar administrative role - with excellent attention to detail and time management skills.

Proficiency in the use of MS products Outlook; SharePoint, Word; Excel and Teams will be key - as will strong organisation skills.

If you have excellent communication skills with the ability to adapt to different audiences, alongside a passion for delivering a best-in-class administrative service - this could be the perfect role for you.
