Job Role:

Facilities Operations Specialist Job Summary

The Facilities Operations Specialist will assist in the planning, coordination, and management of reactive and planned maintenance projects. This includes collaborating with Project Managers and Maintenance Managers, overseeing the departmental quote register, and maintaining the departmental tender pipeline.

Key Responsibilities:

  1. Assist in the planning, coordination, and management of all phases of reactive and planned maintenance projects.
  2. Collaborate with Project Managers and Maintenance Managers to ensure effective labor allocation.
  3. Oversee the departmental quote register and support management with quotation preparation.
  4. Maintain the departmental tender pipeline and support the management team in bid preparation.
  5. Liaise with clients, subcontractors, and external stakeholders to monitor progress and ensure compliance with specifications and quality standards.
  6. Contribute to procurement processes, ensuring cost-effective purchasing and monitoring of purchasing software.
  7. Oversee the departmental health of the company CAFM system.
  8. Manage maintenance department vehicle trackers and department fleet.
  9. Support the finance team with invoice preparation and applications for payment.

Requirements:

  • Strong written and oral communication skills
  • Multitasking in a fast-paced environment
  • Knowledge of Microsoft Office programs
  • Strong problem-solving skills
  • Effective time management skills

Preferred Qualifications:

  • 2+ years' experience working in hard FM Contracting
  • Experience using CAFM systems (preferably Big Change)
  • Experience supporting a finance team with invoice preparation and purchase order management
  • Experience using accounting software (Xero or QuickBooks)

Estimated Salary: £40,000 - £55,000 per annum.
