About the Role:

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Artemis Recruitment Consultants Ltd. As an Office Coordinator, you will play a vital role in ensuring the smooth operation of our office.

Key Responsibilities:

  • Appointment Scheduling: Coordinate and manage appointments, re-arrangements, and confirmations with stakeholders.
  • Diary Management: Effectively manage internal and external meetings, rooms, and alerting receptions to ensure seamless communication.
  • Email Management: File, flag, and forward emails to stakeholders as required, responding to standard queries in a timely manner.
  • Meeting Preparation: Prepare for key meetings, including Management Team regular meetings and other stakeholder meetings, ensuring all necessary materials are available.
  • Task Allocation: Allocate tasks post-meeting, communicate minutes and meeting notes, and ensure relevant team actions are completed within deadlines.
  • Documentation: Update Management Team dictation/notes of meeting to ensure accurate records.

Requirements:

  • Client Interaction: Demonstrate experience in building rapport and interacting with clients effectively.
  • Client Service: Be a driven individual with a focus on client service and leading a high-performance culture.
  • Numerical Ability: Possess strong numerical ability to analyze financial data and performance metrics.
  • IT Proficiency: Be IT technically proficient, including Office 365.

Working Environment:

This is an office-based role located in Barnet, offering a dynamic and supportive work environment.
