Job Summary:

We are seeking a highly organized and detail-oriented Financial Operations Assistant to join our team at Resource Matters Ltd. As a key member of our finance department, you will play a crucial role in supporting the Group Finance function to process and post all ledger transactions.

Main Responsibilities:

  • Timesheets:
    • Oversee the collection and verification of resource time allocation and cost checking for accuracy.
    • Ensure that time entered onto our system is correctly allocated against the relevant job.
  • Payroll:
    • Support the processing of payroll as required.
    • Understand the entire payroll processing cycle to provide contingency and resilience to the Finance Team.
  • Expenses:
    • Review and validate expenses claimed, including checking validity and rates.
    • Approve and batch expenses for entry onto our system.
  • Sales Invoicing/Cash Collection:
    • Verify client activity, including authorized values and invoicing requirements.
    • Perform ad hoc credit control duties following submission of applications and invoices to clients.
    • Liaise with clients to obtain payment dates for overdue invoices.
  • Purchase Invoices/PO's:
    • Review outstanding PO's and take necessary actions.
    • Check for duplicates and advise accordingly.
    • Resolve disputed invoices with the operations team.
    • Provide suggestions for payment runs to assist with cash flow management.
    • Perform statement reconciliation.
  • Job Costing/Reporting:
    • Produce ad hoc reports for the business.
    • Lead WIP reporting, resulting in chasing of billing.
  • FBP Activity:
    • Assist with the management accounts for FM/Group/Holdings as required.
    • Participate in budget and forecast activities as needed.
    • Support GFD/GFC with cash forecasting.
  • Ad Hoc Duties:
    • Perform various tasks as required, including support for new system implementations.
