Administrative Support Professional

This role is an integral part of a high-performing team within the Royal Berkshire NHS Foundation Trust, with a broad remit across the organization. The primary purpose is to provide administrative support to the CMO office under the guidance of the CMO Business Transformation Manager, focusing on delivering against multiple programmes.
The role requires collaboration with multi-disciplinary teams to provide administration, project management support, and enthusiasm to drive change leading to improvement.
Key responsibilities include ensuring all administrative tasks are planned and delivered across the team, managing daily queries through a shared mailbox and calendar, and providing project management support across the portfolio.
Please note that this is not a PA role, but rather a support position for the management and delivery of the organization's portfolio of work.
Main duties of the jobProvide administrative support to the CMO Business Manager and the extended corporate and clinical team for daily queries, managing meetings and workshops using a shared calendar and mailbox, and handling project-related matters.
Deliver project management support across the portfolio, taking responsibility for project and board reporting, setting and following up actions to completion, including personal actions.
Collaborate with multi-disciplinary teams to support their delivery and manage the CMO team business schedule, including preparing and circulating materials.
Job responsibilitiesProvide administrative support in the day-to-day delivery of business within the CMO office portfolio, ensuring contact is handled professionally, correctly, and efficiently.
Manage the set-up, administration, and communication of meetings and workshops, both virtual and in-person.
Determine the priority of issues arising within the CMO business portfolios, obtaining and collating information to enable an informed decision, and escalating to the Business Transformation Manager as needed.
Ensure key project and board report information is available to the CMO team by developing and maintaining monitoring systems to obtain, collate, and present information in a timely and professional manner.
Provide project and programme support to improvement initiatives, including the escalation of risks, issues, and mitigations.
Work with multi-disciplinary teams in care groups and corporate areas to drive the delivery of projects, using project management methodology and adhering to Trust policies and processes.
