This role will support the Operations Manager and project teams to guarantee efficient project execution and adherence to client expectations.
Key Responsibilities:
- Information Management: Oversee the transfer of project data via client portals and internal systems, ensuring seamless communication between engineers, project managers, and the Operations Manager.
- Health & Safety Documentation: Prepare and manage Health & Safety documentation for on-site engineers, ensuring all paperwork is uploaded to the client portal.
- Permit Management: Handle the preparation and application for electronic permits through the client's portal, and track their progress.
- Project Library Maintenance: Maintain organized project files, including recording and reporting systems.
- Meeting Coordination: Organize and facilitate meetings, ensuring smooth information flow and task assignment.
- Progress Liaison: Collaborate with the Operations Manager to monitor project progress, highlight potential issues, and document resolutions.
- Policy Compliance: Adhere to company policies and standards, and support compliance efforts.
Essential Skills and Qualifications:
- Academic Background: Strong academic record with prior experience in project administration highly preferred.
- Microsoft 365 Proficiency: Skilled in Outlook, Word, and Excel (including basic formulas).
- Communication: Excellent written and verbal communication skills.
- Organizational Abilities: Superior organizational skills with a keen attention to detail and the ability to manage multiple tasks simultaneously.
- Team Collaboration: Effective team player who can work confidently with diverse project teams and clients.
- Adaptability: Capable of staying composed under pressure and managing rapidly changing project scopes.
- Agile Work Approach: Flexible and responsive in a dynamic work environment.
- Document Management: Experience in managing complex documentation and coordinating various project tasks.
Employment Details:
- Type: Full-time, Permanent
- Salary: £28,000 - £32,000 annually
- Working Hours: Preferred hours are 08:00 – 16:00
