Senior Contracts Specialist

This role is a fixed-term position covering maternity leave until January 2026.

The Senior Contracts Specialist will report to the Director of Legal and be responsible for providing an efficient and effective pre- and post-contractual service for UCL staff members engaged in consultancy work. The main duties involve providing legal and financial advice for the negotiation, contracting, and management of consultancy projects.

Key Responsibilities:
  • Act as a first point of contact for contractual inquiries from internal UCL staff and external clients, taking the necessary contractual and financial actions.
  • Discuss potential projects with academic staff and external clients, including their budget and contractual terms.
  • Negotiate contractual conditions, including terms and rates, draft contracts and subcontracts, and prepare official quotations on behalf of UCLC.
  • Collaborate with business development, project management, and finance colleagues to provide end-to-end services to internal and external clients.
  • Contribute to the growth and development of UCLC.
Duties and Responsibilities:Legal:
  • Provide expert advice on contractual matters, including intellectual property, warranties, and indemnities.
  • Lead contractual discussions with clients and negotiate favorable terms for consultants.
  • Draft and negotiate various contracts for consultancy services, including subcontracted services and non-disclosure agreements.
  • Apply necessary legal and financial expertise to protect UCLC and UCL from exposure and risk.
  • Review contracts and recommend acceptability to the Director.
  • Familiarize yourself with data protection law and manage related matters.
  • Follow agreed processes and controls associated with establishing new contracts.
  • Maintain up-to-date records on the case management system.
  • Ensure project documentation is complete and accurate.
Finance:
  • Advise on costing and pricing of consultancy projects to secure optimal terms for consultants.
  • Collaborate with the finance team to issue invoices and manage consultancy accounts, ensuring project accounts and payments are administered efficiently.
Policies:
  • Provide consultants with clear guidance on UCL policies and procedures, such as consultancy vs. research, costing and pricing, intellectual property rights, conflicts of interest, high-risk projects, and research-related issues.
  • Ensure consultancy quotations and tenders comply with UCL, UCLC, and client organization policies and terms.
  • Contribute to the development of Contracts Team policy and template documentation to meet growing demands.
General:
  • Maintain accurate records of contracts and negotiations on the case management system.
  • Collect data for database and financial record maintenance, reporting to the UCLC Board, UCL, and government bodies.

**Estimated Salary: £60,000 - £80,000 per annum.**
