About the Role

We are seeking a highly organized and detail-oriented Property Administrator to join our team at Proftech Talent Ltd. As a Property Administrator, you will provide administrative support to our UK Investment team, ensuring the smooth operation of our property portfolio.

Key Responsibilities
  • Insurance Management
    • Act as the primary point of contact for insurance-related matters
    • Verify that all assets have the necessary insurance coverage
    • Process invoices for annual premiums
    • Handle occupier queries and claims
    • Collaborate with our broker partner to ensure accurate information on each asset
    • Arrange insurance inspections
  • Data Input and Management
    • Ensure the property database is up-to-date and accurate
    • Input new leases and tenancies
    • Update rent and lease term information
    • Review leases and lease summaries
  • Data Export and Reporting
    • Generate monthly investment reports
    • Extract quarterly board reports
    • Run quarterly bank reports
  • Sustainability and Compliance
    • Maintain the property EPC register
    • Assist with data collection for sustainability reporting
    • Interface with our energy consultant partner
  • Support for the Investment Team
    • Prepare letters, scan, print, and witness documents
    • Book meeting rooms
    • Arrange property inspections
Requirements
  • Experience in a data input/administration role with a strong aptitude for numbers
  • Proficiency in Microsoft, with excellent Excel skills
  • Good standard of education, including GCSE passes in core subjects (English & Maths)
  • Ideal experience in working within UK commercial property
  • Accuracy and attention to detail
  • A proactive, confident, and positive approach
  • Excellent communication skills, both written and verbal
  • Ability to use initiative and know when to refer matters
  • Strong time management skills in a fast-paced environment
  • A team player with the ability to multitask and work under pressure
  • Willingness to learn and develop
  • Ability to work across teams and liaise with different businesses
