About the Role

We are seeking a highly organized and detail-oriented Conveyancing Support Specialist to join our team at ACS Staffing Solutions. As a key member of our administrative team, you will provide essential support to our Fee Earners, enabling them to operate at maximum efficiency.

Key Responsibilities
  • Maintain Fee Earner's diary, arranging meetings and appointments in a timely and efficient manner.
  • Handle routine client correspondence and queries, ensuring prompt and professional responses.
  • Open and close files, ensuring accurate and secure record-keeping.
  • Provide exceptional client service, attending to clients in person and via telephone, adhering to our firm's high standards of client care.
  • Create and maintain client records on our database, ensuring all correspondence and file notes are accurately recorded.
  • Produce client correspondence and enclosures for mailing, including client bills.
  • Produce client correspondence via dictated notes, maintaining confidentiality and attention to detail.
  • Submit SDLT forms to HMRC and applications to register properties with Land Registry.
  • Ensure the confidentiality of client and firm information at all times.
  • Maintain client hard copy files, including copying, storage, and retrieval of information.
  • Deal with completion funds/slips, ordering documents from the Land Registry online system.
  • Search requests/monitoring returns and ensure payments are made.
  • Assist with drafting Contract Packs, Transfer Forms, and other legal documents.
  • Ensure cleared balances on accounts before closure.
  • Request payments and record receipts of client monies.
  • Arrange searches, reports, and other information as requested by the Fee Earner.
  • Organize post and ensure timely delivery.
  • Perform various administrative tasks, including typing, photocopying, filing, and making/receiving emails and faxes.
  • Work in a safe and secure manner, adhering to the Health and Safety at Work Act.
Requirements
  • Previous experience working as a Legal Assistant/Secretary.
  • Excellent communication skills and ability to work well with others.
  • Ability to work under time constraints and prioritize workload effectively.
  • Able to handle sensitive matters discreetly.
  • Good organizational skills with a methodical approach.
  • Self-motivated and proactive.
  • Deliver exceptional service to clients and colleagues.
