About the Role

This Administrative Support Specialist position at Montgomery Medical Centre is an exciting opportunity for individuals looking to develop their skills in administration and patient support.

Job Overview

The successful candidate will provide high-quality administrative support to the practice team, ensuring seamless day-to-day operations. This includes receiving and accurately recording requests for home visits, typing letters and documents as required, processing incoming and outgoing mail, and ensuring correspondence is filed electronically.

Main Responsibilities

  • Provide exceptional administrative support to the practice team
  • Receive and accurately record requests for home visits, assessing urgency according to practice protocol
  • Type letters and other documents as needed
  • Process incoming and outgoing mail, ensuring correspondence is filed electronically
  • Action tasks as assigned by practice staff
  • Liaise with patients, hospital departments, and community services as necessary
  • Complete filing, send emails, and undertake scanning of letters
  • Book appointments, amend schedules, and cancel appointments as per practice policies
  • Register new patients and update records as required
  • Greet and direct patients and visitors accordingly
  • Respond to clinician needs during surgery
  • Inform patients of relevant charges for private services and process payments
  • Perform start and end of day procedures, including diverting telephones and updating room schedules
  • Check and action emails daily
  • Check lab specimens in the fridge and follow established protocols

Requirements

  • Good standard of general education, including Maths and English C or above
  • Excellent communication skills (written and oral)
  • Good IT skills
  • Well-presented and polite demeanor
  • Able to work effectively within a team and communicate with colleagues at all levels
  • Able to maintain confidentiality and handle sensitive information
  • Able to work under pressure and use initiative when necessary
  • Adaptable and flexible in approach

Working Conditions

The successful candidate will work 37 hours per week, with a shift pattern consisting of four long days (three x 8am-6pm, one x 8am-5pm). The role comes with six weeks of annual leave, plus bank holidays. Montgomery Medical Centre offers a supportive working environment, with opportunities for training and skill development.
