Job Overview

Hartbrooke Associates Ltd is seeking a highly skilled Commercial Property Administration Expert to join their esteemed team. This role presents a unique opportunity for a seasoned legal secretary to leverage their expertise in commercial property and contribute to the success of a renowned law firm.

Job Summary

The ideal candidate will have a proven track record of working in legal administration, with a minimum of 3-5 years of experience in commercial property. They will be responsible for providing administrative support to Fee Earners, managing diaries, and maintaining up-to-date knowledge of cases. The successful candidate will also be expected to develop a strong understanding of clients and organizations to help Fee Earners identify future business opportunities.

Responsibilities
  • Manage diaries, including organizing internal and external meetings, room bookings, and IT equipment.
  • Maintain an up-to-date understanding of Fee Earners' cases and provide proactive support.
  • Conduct research for new clients and collate documents required for client meetings.
  • Monitor critical dates and schedule meetings, as well as liaise directly with clients as required.
  • Administer all aspects of the Commercial Property team's work, including engagement letters, AML/Compliance matters, and conflict searches.
  • Monitor email and draft correspondence on behalf of Fee Earners.
  • Carry out conveyancing searches using internal systems and external portals.
  • Support Fee Earners in managing workflow and completing tasks within tight deadlines.
  • Act as the first point of contact for Fee Earners, managing telephone, voicemail, and email messages.
  • Support the Business Development team in producing business development materials.
  • Ongoing and monthly billing, including invoicing, narratives, and cover letters.
Requirements
  • 3-5 years of experience as a legal secretary in commercial property.
  • Strong communication and client relationship skills.
  • Ability to build a strong knowledge of clients and organizations.
  • Proficiency in core IT applications, including Microsoft Office suite and InterAction.
  • GCSE standard in Mathematics and English.
