Project Administrator Job Description
Milestone Environmental Contracting Inc. is seeking a highly skilled Project Administrator to join our team. As a key member of the project delivery team, you will be responsible for gathering and processing project information, ensuring accurate data capture, and supporting the finance team in managing Accounts Receivable and Accounts Payable.

We are offering a highly competitive salary of $75,000 - $95,000 per annum, depending on experience, plus benefits. In addition to your salary, you will receive a comprehensive benefits package, including health and dental insurance, retirement savings plan, and paid time off.

The ideal candidate will have excellent organizational skills, strong attention to detail, and the ability to work effectively in a fast-paced environment. You will be working closely with the Project Manager to ensure seamless project execution, meeting submission deadlines, and maintaining high-quality documentation.

As a Project Administrator, you will play a critical role in the success of our projects. You will be responsible for:
  • Receiving, reviewing, and processing field data including daily field packages with supporting backup and vendor invoices.
  • Verifying accurate data capture and processing for all project costs including labour, equipment, subcontractor, and materials.
  • Managing Accounts Receivable and Accounts Payable for the project with support from the Project Manager and finance team.
  • Developing submission structure and organizing proposal content.
  • Working closely with the Project Manager on Change Management processes for RFI / CCN submissions and follow up.
  • Ensuring flow down of Terms & Conditions from Prime Contract through to Subcontracts.
  • Confirming contract cost coding lines up with the estimate.
  • Compiling and completing project binders for Site Superintendents.
  • Setting up site specific field package for Site Superintendent to track daily activities and costs.
  • Meeting submission deadlines by establishing priorities and target dates for information gathering, writing, review, and approval.
  • Setting up project and client billing template in Sage Intacct.
  • Supporting the project delivery team in meeting the project deliverables as required.
  • Supporting subcontractor vetting and prequalification process.
  • Reading, understanding, and following Milestone Environmental Contracting's Corporate Health and Safety Program, Policy, and Procedures.
