Job Summary

We are seeking a highly skilled and organized Reception Services Coordinator to provide exceptional customer service and administrative support to our team at EMCOR UK.

Key Responsibilities

  • Answer incoming calls in a professional and efficient manner, ensuring all calls are handled promptly and effectively.
  • Manage the switchboard, ensuring all calls are directed to the relevant extension and messages are taken and passed to the recipient in a timely manner.
  • Greet visitors, log their details, and notify the relevant staff member, ensuring all visitors are accompanied at all times.
  • Assist with maintaining the premises telephone extension list and ensure all staff have an up-to-date copy.
  • Update notice boards with internal announcements and current vacancies, ensuring all notice boards are kept tidy.
  • Project a professional and positive image at all times to both internal and external customers.
  • Ensure security processes regarding staff and visitor access to the premises are adhered to.
  • Assist with the distribution of incoming faxes, particularly those marked urgent, and notify the relevant person on receipt.
  • Keep a close eye on the premises car park and advise staff or visitors if they have parked inappropriately.
  • Provide back-up cover for the Post Room in periods of absence or sickness.
  • Assist with meeting room bookings, ordering refreshments, and making tea and coffee when required.
  • Oversee the archive storage room and ensure it is kept tidy, and liaise with departments to ensure archiving is carried out on a regular basis.
  • Ensure EMCOR UK brochures are available in the Reception area.
  • Assist the Management Assistant with ad-hoc duties.
  • Provide back-up administration support as and when required.
  • Uphold and promote the good name of EMCOR UK at all times.
  • Operate a clear desk policy and be responsible for general tidiness and housekeeping within the Reception area.
  • Develop an understanding of EMCOR UK to improve personal contribution to the company and all staff interacted with.

  • Personable, approachable, and able to work as part of a team
  • Extensive reception experience
  • Good switchboard skills
  • Well-organized with the ability to prioritize
  • Good IT skills, including Word, Excel, and Lotus Notes
