We are seeking a highly organized and efficient Site Administrator to join our team in Hinkley. As a key member of our operations team, you will be responsible for supporting site operations and ensuring effective coordination of staff and resources.

Key Responsibilities:
  • Site Induction Management: You will be responsible for registering new employees, assisting with form completion, and updating profiles. You will also coordinate with clients for profile review and approval, ensure staff attend inductions, manage profile transfers, and update expiries. Additionally, you will handle Access Card requests for new, missing, or damaged cards and complete offer forms for HR once manager approval is obtained.
  • Safety Critical Medical Coordination: Your duties will include checking staff availability for medical appointments, booking appointments, and sending confirmations. You will also obtain medical results and upload them to relevant sites and prepare and send purchase orders to medical centers.
  • Safety Glasses Prescription Processing: You will liaise with Health & Safety for prescription requests and distribute them to staff.
  • Friday Pack Responsibilities: Your tasks will include preparing and taking minutes of meeting, updating weekly tab scoring, and compiling reports for clients.
  • Onboarding New Starters: You will assist new employees post-induction with site directions and contract management. You will also handle pre-employment questionnaires and verify necessary documents.
  • Holiday Management: You will issue and track holiday forms, maintain individual holiday records, and assist staff with holiday-related queries.
  • Timesheet & Payroll Support: You will address payroll queries, assist in timesheet preparation, process lodging applications, and documentation.
  • General HR Assistance: You will support staff with required documents and communicate with HR on staff updates. You will also maintain attendance and absence records.
  • Training Coordination: You will communicate training details to attendees and maintain tracking lists.
  • Administrative Duties: You will prepare daily and weekly reports, manage contract copies, reference letters, and update requests.
