Client Service Coordinator

We are seeking a highly organized and skilled Client Service Administrator to join our team at Coburg Banks Limited. As a key member of our financial planning and wealth management business, you will play a vital role in providing exceptional client service and support to our growing team of Financial Planners and Para Planners.
The RoleAs a Client Service Administrator, you will be responsible for:
- Scheduling and coordinating client meetings, recording activities, and ensuring timely follow-up.
- Supporting compliant new business submissions by completing and distributing relevant documentation, managing progress, and updating the CRM system.
- Acting as the primary interface for internal and external client queries, as well as third-party providers.
- Providing ongoing operational and administrative servicing of existing clients, including preparation of client review reports, issuing recommendation reports, and processing withdrawal requests.
- Liaising with third parties regarding letters of authority, requesting policy information, fund switches, and instructing transfers of stock and/or cash.
We are looking for a reliable and self-motivated individual with administration experience, preferably in the wealth management or investment sector, and ideally in a compliance or regulatory capacity. The ideal candidate will possess:
- Strong problem-solving skills, with the ability to handle high volumes of work and demonstrate attention to detail.
- Confident communication skills, with the ability to work effectively in a team and autonomously.
- Experience using client management/financial planning tools.
- Familiarity with dealing with third parties to commence transfer proceedings, instructing fund switches, and/or change servicing rights.
