Fleet Operations Coordinator

To provide administrative support to the fleet team, ensuring the smooth operation of fleet-related tasks and delivering exceptional customer service to EMCOR's driver population.
Key Responsibilities:- Manage incoming emails and phone queries related to fleet administration.
- Coordinate fuel card activities, including ordering, cancellation, and distribution.
- Set up drivers in Key2 and create and distribute driver packs.
- Inform Arval of vehicle movements and produce and distribute first notification of loss reporting.
- Book driver training and ensure completion, reporting monthly.
- Import mileages from Telematics into Key2 and update SMR Smartsheet booking form.
- Make SMR bookings via Servicepoint and run MOT and Service chasing reports weekly.
- Control hire vehicle bookings, including requests, bookings, chasing, and terminations.
- Update hire tracker monthly and book vehicle defects via Servicepoint.
- Chase drivers for vehicle defect repairs and report on outstanding defects.
- Manage grey fleet compliance and chase drivers for non-compliance.
- Run driver licence checks and chase non-compliance.
- Support in processing notices of intended prosecutions and penalty charge notices.
- Process Road fund licence renewals and add/remove vehicles from the Motor insurance database.
- Assist in producing and transitioning fleet forms into a Smartsheet format.
