Job Summary

Management Solutions is seeking an experienced Administrative Assistant to join our team in Birmingham. As an Administrative Assistant, you will provide high-level administrative support to our management team, ensuring the smooth operation of our office.

Key Responsibilities
  • Provide administrative executive support to management, including controlling and registering of expenses.
  • Support the MIS process by feeding information into systems periodically and reconciling management and accounting information.
  • Support employees in time and expenses reporting processes.
  • Perform general administrative tasks, including office reception, calls, mailing, shipping, filing, and copying.
  • Manage procurement of office supplies, equipment, and furniture.
  • Monitor and control office supplies and hardware.
  • Support relationships with outsources and vendors.
  • Filing and maintenance of contracts and activation of renewal processes.
  • Support relationship with clients, including meeting arrangement and invoice process.
  • Support personnel recruiting process, including contact with universities and update of Human Resources Data Bases.
  • Collaborate in welcome process for new hires.
  • Support training activities and manage process related to internal library and available training documentation.
  • Organize meetings and seminars relating to the Financial Industry.
  • Support execution of Social Action activities.
  • Manage contacts with hotels, apartment owners, flights, and trains booking agencies.
  • Search for best offers ensuring application of corporate policies.
  • Execution of reservations and bookings.

Requirements
  • Fluent English, conversational Spanish.
  • Strong verbal and written communication skills.
  • Ability to effectively negotiate with customers, vendors, and internal staff.
  • Proven organizational skills with extremely strong attention to details.
  • Positive attitude, be energetic, enthusiastic, and be able to manage own time.
  • Proven ability to work simultaneously in multiple tasks, problem solve, be a self-starter.
  • Manage confidential information and activity with extreme professionalism.
  • Strong skills and expertise in Microsoft Office.
  • Previous experience in office management and administrative tasks.
