Teaching Personnel is seeking a highly organized and efficient School Receptionist/Admin to join our team. As the first point of contact for the school, you will be responsible for providing key administrative support to meet the needs of the school.
Key Responsibilities- First Point of Contact: Act as the first point of contact for the school in person and by telephone, welcoming visitors in a professional and hospitable manner.
- Administrative Support: Provide key administrative support to meet the needs of the school, including assisting in the organisation and arrangements for meetings, circulating agendas and minutes, and organising venues/refreshments as required.
- HR Administrative Support: Provide general HR administrative support with personnel files, recruitment paperwork, and recording and booking of training courses if applicable.
- Event Support: Support whole school events such as parents evening and public events.
- Pupil Trips and Visits: Provide administrative support for pupil trips and visits as required, including receiving and prioritising incoming telephone calls/emails and dealing with them appropriately.
- Financial Support: Manage the receipt, recording and overseeing of school payments, including cash received, following the trust cash handling process.
- General Administrative Support: Provide administrative support such as typing, photocopying, shredding, filing and archiving, sorting and distributing incoming post and preparing outgoing mail, and recording incoming goods and providing assistance with stock control and lost property.
- Reception Area: Ensure appropriate standards of tidiness and order in the school reception area so as to project a professional and welcoming environment for parents, pupils and visitors to the school.
- Communication: Link with external agencies/providers as required, ensuring professionalism is maintained.
- Stock Management: Oversee the stock taking and replenishment of consumables.
- Emergency Procedures: Maintain a key role in the school's fire evacuation and emergency communication procedures.
- Support to Other Functions: Support other administrative functions in the school during busy periods.
- Pupil Records: Input new and updated information on the school's computerised systems for pupil records as appropriate, ensuring all records are maintained and up to date.
- Attendance Records: Maintain accurate school attendance records, processing data, transferring attendance registers onto SIMS and assisting in the production of termly attendance data reports specific to Headteacher requirements.
- School Census Returns: Provide administrative support relating to school census returns as required.
- Data and Reports: Produce data, reports and other information as required.
- Prioritising Pupils' Needs: Ensure that pupils' needs are prioritised and have a clear sight of how this role impacts on the academy's and the Trust's pupils at all times.
- Teamwork: Act as a Trust team member and provide support and cover for other staff where needs arise, inclusive of occasional work at other sites within a reasonable travel distance.
- Trust Values and Behaviours: Adhere to Trust values and behaviours.
- Trust Policies and Procedures: Be aware of and adhere to all Trust policies and procedures.
- Continuing Self-Development: Be responsible for your own continuing self-development and attend meetings as appropriate.
- Other Duties: Undertake other duties appropriate to the post as required.
