Job Summary

The Department Administrator will provide comprehensive administrative and secretarial support to the Nursing, Governance and Psychology Department. This role will involve utilizing Microsoft Office Packages to deliver a high-quality administrative service, including data collection and monitoring, extracting data from various systems, and reporting as required. The postholder will also be responsible for providing support for high-level meetings, including detailed minutes, organization of meetings, and preparation of agenda and papers.

Main Duties

The Department Administrator will be responsible for providing an administrative and secretarial service to the wider Nursing, Governance and Psychology Department, including answering phones, dealing with queries, greeting and directing visitors, opening and sorting post, booking travel and accommodation, photocopying, filing, organizing and minuting meetings, stationery stock control and ordering, ESR inputting, and other administrative tasks as required.

The postholder will also support the Administration Team in the reporting of in-house estates and facilities requirements, including coordination of room bookings, diary management, preparation of agenda and papers, minute taking, and chasing of outstanding actions.

The Department Administrator will work using initiative and be a team player, supporting other members of the team with problem-solving of day-to-day problems. The postholder will also be responsible for covering periods of absence for the Nursing, Governance and Psychology Department administrators.

The Department Administrator will initiate, record, and retrieve records through databases and respond to routine requests for information from Senior Managers and other members of the Trust.
