Scope & Purpose

The Project Coordinator is the primary point of contact for day-to-day customer and supplier interactions. This role involves establishing strong relationships with contractors, shopfitters, electricians, cablers, and suppliers to ensure successful project delivery. As a Project Coordinator, you will work closely with the Project Manager to prepare comprehensive action plans, including resources, timeframes, and budgets for various projects. Your responsibilities will include coordinating tasks, such as scheduling and risk management, as well as administrative duties like maintaining project documentation and handling financial queries.

Key Responsibilities
  • Process customer and hardware orders according to company procedures.
  • Ensure customer tasks are addressed, ranging from field activities to logistical requests, and allocate engineering resources accordingly.
  • Keep Celestra's internal systems up to date to ensure accurate scheduling and project delivery.
  • Collaborate with the Project Administrator to complete documentation uploads.
  • Create templates for delivery tasks for the Project Administrator to update.
  • Communicate effectively with clients and Project Managers to resolve minor issues and escalate as necessary.
  • Ensure accurate invoicing information is available for billing.
  • Communicate with field resources regarding job details, instructions, closures, and costings.
  • Perform administrative tasks, including daily and weekly reporting, and other ad-hoc tasks.
  • Create quotations from set fees for project tasks.
  • Adhere to Project Management principles within Celestra's guidelines and processes.
Requirements
  • Proven experience in customer service or office administration.
  • Understanding of Project Management principles, including risks, issues, and change control (desirable but not essential).
  • Excellent organizational skills in a fast-paced environment.
  • Ability to work efficiently and complete documentation accurately.
  • IT literacy, including MS Office and system management experience.
  • Decisive, tenacious, and committed.
  • Willing to learn and adapt, taking ownership of tasks.
  • Attention to detail.
  • Effective communication at various stakeholder levels.
