Dealer Agreement Specialist

At MSX International, we are seeking a highly skilled Dealer Agreement Coordinator to join our team in the Dunton site in Basildon, Essex.
This role is designed to ensure dealer data accuracy, maintain essential legal documentation, and facilitate clear communication across departments and external partners.
The ideal candidate will have a minimum of 2 years of administration experience working in an office environment, and will be accountable to the MSX client.
Key Responsibilities:
- Produce and distribute the All Sites Dealer List and Dealer Agreement Status reports on a monthly basis.
- Generate ad hoc reports and maintain essential Market Rep spreadsheets as needed.
Legal Responsibilities:
- Draft and manage the preparation of Termination and Appointment Letters in close collaboration with the legal team.
- Ensure Dealer Agreements are consistently updated and correctly recorded, addressing any related legal issues promptly.
Operational Support Responsibilities:
- Assist Rep Managers in the setup and termination of dealers and dealer codes, preparing necessary documentation and coordinating with group head offices.
- Allocate new dealer codes and communicate network changes to the relevant teams, maintaining confidentiality as needed.
- Manage all dealer network records in the Market Rep Database, coordinating with the FCSD System Analyst for any structural changes.
- Oversee the Sales Improvement Process paperwork, including issuing initial letters.
- Serve as the main contact for Dealer Information Database (DID) inquiries from the team in Germany.
- Handle the appointment and termination of Sales Contracts and Activities in DID, while maintaining accurate records for Geocodes, Goodwill Transfer, and Core Dealer Standards.
General Responsibilities:
- Update the Bank Mandates on the People Soft SharePoint site.
- Perform regular EDMS housekeeping alongside the IDM Team Leader.
- Monitor Trade Mark abuse issues, issuing letters and collaborating with the US legal team as necessary.
Requirements:
- Exceptional attention to detail and high accuracy, especially in managing legal documents.
- Proficiency in database management, spreadsheets, and SharePoint.
- Excellent communication skills and the ability to manage multiple priorities.
- Experience in a similar administrative or operations support role is preferred.
Working pattern and location:
- 32 hours weekly (Monday – Thursday)
- Based within commuting distance to Ford Dunton, Basildon, Essex
- Hybrid working with Minimum 2 Days in office
