About the Role

The GSMA Workplace Services Team is responsible for providing a first-class workspace for all colleagues. As a Workplace Services Manager, you will play a key role in ensuring the smooth operation of our offices, including H&S/Housekeeping checks, office supplies, and delegating daily task lists.

You will work closely with the Landlord's building team to ensure the smooth running of our workspaces. This includes conducting and organizing H&S activities, such as risk assessments and on-going health and safety training.

You will be responsible for ensuring business and legal compliance with policies and procedures at all times. This includes providing the highest level of service standards to colleagues and visitors.

You will also assist with and coordinate Service Desk tickets, completing them in a timely manner and escalating where necessary.

You will work alongside our wider team to manage FM & tech requirements, set up meeting rooms/collaboration spaces, and assist with onboarding/offboarding processes.

You will be responsible for managing and coordinating the purchase of office supplies, including stationery and kitchen items, in line with storage.

You will prioritize sustainable suppliers and processes for all Workplace activities.

You will supervise and coordinate the work of contractors to ensure minimum disruption to core activities.

You will update PPM schedules to ensure an auditable set of building service maintenance records that meets legal requirements.

You will coordinate the processes for organizing maintenance and shutdowns, ensuring any impact on GSMA activities is minimized.

You will co-ordinate with respective landlords/property managing agents to ensure any maintenance required by the landlord is carried out in a timely fashion.

You will liaise with building staff and external facilities/maintenance providers to obtain the correct RAM's and work permits documentation for all activities.

You will maintain and update Workplace databases, including preparation of access management data reports.

You will coordinate off-site storage activities and assist with post management, couriers, and deliveries.

You will collect and collate data, including utilization, access data, waste, and energy use.

You will assist with relocations and refurbishments, working closely with the respective Workplace Services Business Partner and managers for the location.

You will communicate regularly with colleagues on workplace changes and news, and produce/update relevant workplace signage and posters.

You will regularly review the workspace for improvements and make suggestions for changes to enhance colleagues' experience.

You will work closely with our wider team on projects to improve the workspace.

You will provide assistance with company-wide events and use initiative to identify new and innovative solutions to team challenges.

You will perform ad-hoc activities as required by the Workplace Services Business Partner and travel to global offices as required.
