About the role

We are seeking a highly skilled Deputy Departmental Records Officer to join our Knowledge and Information Management team at the Ministry of Housing, Communities and Local Government.

As a key member of our team, you will be responsible for managing the lifecycle of information held by the Ministry, ensuring compliance with relevant legislation and policies.

Key responsibilities

  1. Lead the management of the Records Services team to deliver high-quality registry and review services.
  2. Analyze and present monthly statistics to track progress against legislative requirements.
  3. Oversee the process of identifying and placing on hold potentially relevant public inquiry material and managing related queries and requests.
  4. Design and implement lifecycle management and review within M365, followed by ongoing management once implemented.
  5. Investigate and implement strategies to manage the digital legacy in M365, including the import of legacy data from other systems.
  6. Manage the design and implementation of digital selection, sensitivity review, and transfer to TNA.
  7. Oversee review, lifecycle management, and destruction processes to ensure targets are met.
  8. Lead multiple large-scale projects to address the lifecycle management, retention, and long-term preservation or destruction of information.
  9. Liaise with stakeholders and subject matter experts.
  10. Serve as the Account Manager for the Offsite Storage Contract.

You will have

  1. Knowledge and understanding of relevant legislation related to KIM.
  2. Strong self-motivation and ability to work independently.
  3. Strong organisational skills.
  4. Good communication skills.
  5. Strong teamworking skills.
  6. Experience of working in a knowledge and information management role or relevant qualification.
  7. Competent user of Excel and M365 SharePoint environment.
