Facilities Quality Assurance Officer

Job Purpose:

To provide expert support to the Facilities Quality & Compliance Manager in ensuring operational performance standards are met within hard and soft facilities management services. This involves conducting audits and inspections on in-house and private contractors across all three hospital sites to ensure compliance with legislative and published guidelines, including the National Standards for Healthcare Cleanliness 2021 and the Environment Protection Act 1990.

Key Responsibilities:
  1. To assist with monitoring the quality of delivery of all in-house and contracted facilities services activities within Worcestershire Acute Hospitals NHS Trust against National Standards and Trust Policies and Procedures.
  2. To monitor performance against key performance indicators (KPIs) and provide the information needed to develop corrective action plans.
  3. To conduct spot check audits on all services and audit records maintained by in-house teams and contractors.
  4. To provide a point of contact for front line service users and staff and take corrective actions at an operational level.
  5. To provide a full administration service to monitoring and facilities teams.
General Duties:
  1. To assist with monitoring performance of services in accordance with Service Level Agreements and external contracts, including domestic service, portering service, ward kitchen inspections, linen hire service, and minor hotel service contracts.
  2. To ensure monitoring data is recorded and reviewed, and support auditing action taken.
  3. To raise issues of concern with the Facilities Quality & Compliance Manager and support implementation of appropriate action plans.
  4. To develop and maintain good relationships with clients, users, contractors, Facilities Services Management, and Estates Management.
  5. To assist staff within the Facilities Management Team to ensure they are effective and efficient in providing quality services.
  6. To be involved in measuring the outcomes of existing service delivery and the development of new standards.
  7. To provide support in special projects as required, such as waste segregation, recycling, and environmental initiatives.
  8. To provide a full administration service to this team, including upkeep of records, typing of reports, and assistance with report preparation, filing, and copying.
  9. To provide cover to the Facilities administration team as required.
  10. To be familiar with and abide by Trust policies and procedures.
  11. To be able to work flexibly during the normal working week and also at evenings and at weekends in accordance with the needs of the service.
