Job Summary

This is an exciting opportunity to join our team as an Executive Assistant - Support Specialist. The successful candidate will provide high-level administrative support to the CEO and Senior Leadership Team, ensuring seamless communication and coordination across the organization.

Key Responsibilities
  • Administrative Support: Manage and maintain the CEO's schedule, appointments, and travel arrangements, ensuring timely and efficient execution.
  • Expense Management: Assist the CEO in collating and submitting expense claims, ensuring accuracy and compliance.
  • Research and Briefing: Conduct research as required to prepare the CEO and Senior Leadership Team for key meetings, ensuring they are adequately briefed and informed.
  • Meeting Coordination: Coordinate and arrange Senior Management Team meetings, Board of Trustees annual meetings, and other governance meetings as required.
  • Minute Taking: Provide minute taking and administrative support to Senior Management Team meetings, Trustee meetings, and supporting committees.
  • Enquiry Management: Answer and manage all incoming enquiries on the Causeway external phone line and information email address, ensuring timely and effective responses.
  • Data Monitoring: Support the COO in monitoring and evaluating service information, through the collation of quarterly data across all departments.
  • Project Support: Support the COO in the wider service improvement agenda through the production of project management templates and data monitoring.
  • Case Study Support: Provide administrative support to the SLT in gathering case studies or data for the purpose of report production for external stakeholders.
  • Administrative Support: Support the SLT in working groups/service projects through administrative support and action logging within project meetings.

To be successful in this role, you should possess excellent administrative skills, great time management skills, and the ability to act under your own initiative. You should also be well-organized, have great communication skills, and be able to work effectively in a fast-paced environment.
