Job Summary

The Programme Administrator will provide high-quality administrative support to the Diabetic Eye Screening Service. This role involves assisting with the day-to-day running of the service, including general office duties, answering phone calls, taking minutes, updating records, and maintaining stock levels.

Main Responsibilities

  • Dealing with telephone and direct enquiries in a prompt and effective manner, ensuring the provision of information and prioritisation of queries as appropriate.
  • Assisting with the arrangement of programme meetings and note-taking.
  • Placing stationery orders via the online procurement system and delivering and reconciling invoices.
  • Performing Fire Warden duties.
  • Utilising relevant IT systems to support the delivery of a high-quality imaging service.
  • Assisting with monthly programme reports.
  • Complying with ISO standards and respecting and protecting confidentiality.
  • Reporting any incidents, feedback, or complaints effectively.

What You Will Do

The Programme Administrator will be responsible for delivering high-quality administrative support to the Diabetic Eye Screening Service. This will involve assisting with the day-to-day running of the service, including general office duties, answering phone calls, taking minutes, updating records, and maintaining stock levels.

  • Ability to follow instructions to support both colleagues and patients.
  • Experience in dealing with customers and/or patients and knowing how to handle their queries effectively and sensitively.
  • Ability to work independently as well as part of a team.
  • Good time management skills and a flexible approach to working.

Experience

  • Working in a customer or patient-facing role ideally within a healthcare setting.
  • Using Microsoft packages and other IT systems.
  • Working as part of a team but also independently.
  • Data protection and confidentiality laws.
