Job Summary

We are seeking a highly skilled Facilities Manager and Consultant to join our team. As a key member of our Property Service team, you will be responsible for delivering FM services across a diverse range of properties. Your expertise will enable you to work closely with our Property Management and Compliance teams to ensure that our services meet the highest standards.

Key Responsibilities

  • Deliver FM services in line with industry standards and company requirements.
  • Manage premises support services within our expanding managed portfolio.
  • Work closely with our Property Team to ensure that FM services are delivered to the highest standards.
  • Direct, plan, and coordinate essential services for clients, including grounds maintenance, cleaning, building fabric maintenance, and MEP maintenance.
  • Procure FM services, including the preparation of tender documents and specifications.
  • Ensure that buildings meet health and safety, environmental, and quality requirements, complying with current legislation and industry standards.
  • Use performance management techniques to monitor and demonstrate achievement of agreed service levels and lead on improvement.
  • Maintain regular liaison and engagement with owners and Directors on the managed portfolio and ensure that colleagues are fully updated on all processes, instructions, and issues.
  • Attend managed properties as required to enable and support the provision of Facilities Management services for clients and occupiers.
  • Meet with clients, contractors, and colleagues at the managed properties to discuss ongoing and future undertakings.
  • Provide holiday cover for team members, monitor emails, online systems, invoices, and deal with matters that arise.
  • Prepare and follow Long Term Maintenance Plans and assist in future Service Charge Budgeting.
  • Re-tender service contracts or obtain quotes for planned or reactive works at managed properties, ensuring high standards, commercial integrity, and value for money.
  • Ensure that service contracts and variations are fully documented to the appropriate standards.
  • Schedule and, where appropriate, attend H&S audits, including General Risk, Fire Risk, Water Risk, and Asbestos.
  • Assist and manage Facility Management Consultancy Services away from the managed portfolio.

Requirements

  • At least 5 years of direct facilities management experience.
  • Experience in managing FM services on a portfolio basis.
  • High degree of knowledge of Health and Safety legislation, environmental protection requirements, and ideally IOSH or NEBOSH qualified.
  • Knowledge of Residential and Commercial Property Service Charges.
  • Experience of outsourced contract management.
  • Excellent IT skills – Word, Excel, Outlook, and bespoke packages.
  • High-level communication and interpersonal skills, both written and spoken.
  • A methodical approach with attention to detail.
  • Self-motivated and passionate about working as part of a team.
  • Confident and diplomatic.
  • An understanding of Accounts, invoicing, and financial reporting.
  • Proactive, receptive, and adaptable to change, with a focus on growth and efficiencies.
  • Experienced with CAFM systems.
  • Driving License.
