Job Title: Export Sales Order Coordinator

We are seeking a highly skilled Export Sales Order Coordinator to join our team at Quest Personal Care Global Ltd. As an Export Sales Order Coordinator, you will play a crucial role in managing export orders from initial enquiry through to delivery.

About the Role

Working closely with our Merchandise team, you will be responsible for the EU and Middle East order management process. Your key responsibilities will include liaising with factories in China, managing customs/shipping documentation, and updating customers, merchandisers, and sales agents on order status and delivery dates.

Key Responsibilities
  • Process warehouse export sales orders as required by the customer, including EXW, FOB, DDP, and CIF.
  • Utilize SAP to check for stock availability, update export delivery notes, and process invoices.
  • Provide export sales support administration for our overseas-based Export Sales team.
  • Liaise with overseas factories in China and manage shipments from China to customers.
  • Create new product forms, update images, and product details onto our portal.
  • Manage stock for forecasted orders.
  • Liaise with freight agents for collection and delivery of export orders.
  • Obtain quotations from couriers, overnight transport, and freight forwarders for Air/Sea/Road shipments and arrange bookings.
  • Coordinate logistics of export shipments to ensure timely delivery to customers.
  • Handle all relevant documentation, including Bills of Lading, packing lists, and Certificates of Origin. Provide Track and Trace service to customers and generate shipment invoices and commercial agreements.
  • Ensure high data integrity within shipments, acknowledging shipment details, INCOterms, routing, dates, and documents.
  • Offer exceptional customer service, resolving any issues, and handling queries.
Requirements
  • 2 years of experience managing commercial export sales orders.
  • Full awareness of all relevant export shipping documentation, including Bills of Lading.
  • Excellent communication skills to deal with overseas customers.
  • A team player who wants to share knowledge and best practices for the benefit of the team.
  • Exceptional administration skills to ensure all documentation is correct, minimizing delays for order deliveries.
  • SAP experience is ideal, but full training on this system is available if required.
