The Role
Providing support to the Head of Retail Parks, Head of Logistics, and their team. The role is a rewarding and busy one, so requires a person that can operate well under pressure, is energetic and confident with a can-do attitude in an exciting team within British Land.
Key Responsibilities
- Diary management – setting up meetings/video conference calls efficiently and without prompt and booking meeting rooms and catering as required.
- Meetings and communications – attendance at key team meetings and taking down and subsequent tracking of key actions, keeping the teams' actions on track.
- Lead coordination of the Joint Venture reporting process – chasing teams for input, etc.
- Preparing and amending presentations and other documents to tight deadlines.
- Organisation of internal and external events.
- Build, develop and manage relationships with all internal and external parties. First point of contact for Retailers, Agents, Advisors, Lawyers, etc.
- Ensuring the team are meeting with their customers and maintaining relationships on a regular basis.
- Deal management – close coordination with Secretariat and Lawyers to ensure deals and leases are logged, signed, and sent back within the correct timescale.
- Travel arrangements – organising domestic flights, train tickets, hotels, and taxis.
- General administration – processing expense claims and purchase orders via Proactis.
- Closing liaison with other PAs and Direct Reports to ensure priorities are communicated and any outstanding matters are followed up promptly.
- Other admin duties including proofreading documents, dealing with invoices.
- Short-term cover for other PA's when required.
- Maintaining contacts – ensuring contact details are kept up to date in Outlook and Salesforce.
About You
- Experience working in a similar PA role at a FTSE 250 company and within a fast-paced professional department.
- Experience working with multiple senior stakeholders and managing multiple diaries.
- Flexibility – must be able to deal with different levels of workload.
- A collaborative and strong team player.
- A professional attitude and ability to demonstrate great initiative.
- Excellent written and oral communication skills.
- Excellent organisation skills.
- Proficient knowledge of MS Word, Outlook, PowerPoint, Excel, and Adobe.
- Ability to adapt to last-minute changes.
- Excellent attention to detail and accuracy.
- A willingness to learn about the company.
- Able to use knowledge learned to look at the bigger picture to understand where tasks fit in.
- Must have an awareness of and ability to maintain confidentiality.
- Must be able to self-manage and prioritise own workload.
- Confidence in managing the team.
- Strong knowledge of MS Word, Outlook, PowerPoint, Adobe Acrobat Pro & Excel.
