Job Title: Assistant Office Manager

Bytes Software Services is seeking a highly organized and detail-oriented Assistant Office Manager to join our facilities department. This role will be based primarily out of our Reading office and will be responsible for managing office operations, administrative tasks, and providing exceptional customer service to our employees and visitors.

Key Responsibilities:

  • Manage office operations, including administrative tasks, diary management, and travel bookings.
  • Assist the Facilities Manager and Facilities Team with ad-hoc tasks and projects.
  • Provide administrative support to the Chief Commercial Officer, including diary management, travel bookings, and other tasks as required.
  • Liaise with third-party contractors, including cleaners, security, and other service providers.
  • Manage meeting rooms, including setup and teardown, and ensure that all necessary equipment and supplies are available.
  • Assist with on-site events, including setup, coordination, and execution.
  • Manage vendor bookings, including ordering and receiving goods and services.
  • Assist with sales intake days, including coordinating with the Divisional Director and other stakeholders.
  • Manage goods-in and deliveries, including receiving, sorting, and distributing incoming mail and packages.
  • Manage the vending machine, including restocking and maintaining the machine.
  • Manage bookings for staff onsite massage services, including coordinating with the service provider and ensuring that all necessary arrangements are made.
  • Order buffet lunches and food supplies as required.
  • Keep a log of all reception purchases, including raising purchase orders for any items purchased.
  • Ensure Health & Safety compliance, including PAT testing and other necessary checks.
  • Provide assistance to Fire Wardens and First Aiders as required.

Requirements:

  • GCSE A-C in English and Mathematics.
  • Experience in working in a similar front-of-house or office management role.
  • Strong communication and interpersonal skills.
  • Good attention to detail.
  • Comfortable with diary management and organizational tasks.
