About the Job

We are seeking a highly skilled Fire Safety Operations Coordinator to join our team at Complete Security Recruitment. As a key member of our operations team, you will be responsible for ensuring the seamless execution of our fire alarm maintenance services, including scheduling and coordination, customer service, administrative support, compliance and documentation, and team support.

The ideal candidate will possess strong organizational and time-management skills, excellent communication and interpersonal skills, and proficiency in using scheduling software and CRM systems. Knowledge of fire safety systems and regulations is preferred but not essential.

Key Responsibilities:

  • Scheduling and Coordination: Plan and assign maintenance and service jobs to engineers, optimize their schedules for efficiency, respond to emergency call-outs, and coordinate urgent service requests.
  • Customer Service: Act as the first point of contact for clients, handle inquiries and service requests professionally, keep clients informed of scheduled visits, changes, and updates, and address client concerns promptly and escalate issues when necessary.
  • Administrative Support: Maintain accurate records of service visits, repairs, and client interactions in the CRM system, prepare and distribute job sheets, quotes, and service reports, and manage inventory levels and order necessary parts or equipment for engineers.
  • Compliance and Documentation: Ensure all documentation is compliant with UK fire safety regulations and company standards, assist in preparing compliance reports and certificates for clients.
  • Team Support: Liaise with engineers and management to resolve operational challenges, provide input to improve processes and enhance service delivery.
