Job Title: Team Assistant – Research & Sales

We provide institutional investors with equity research, quantitative and technical analysis, economics research, and agency execution in European and North American equity markets.

In addition to research and execution, Redburn Atlantic Access links investors to our network of industry executives and independent experts.

The Role

As a Team Assistant, you will provide PA and administrative support to the Research and Sales teams, and a number of senior individuals.

Your aim will be to help the teams run as smoothly as possible and allow them to optimise their time.

Responsibilities

  1. Managing diaries of senior Redburn Atlantic employees (Analysts and Salespeople); liaising with internal teams and external individuals to arrange client meetings
  2. Assisting the Sales team in organising meetings between Analysts and clients
  3. Coordinating national and international travel with our preferred travel agency and preparing any necessary travel documents (itineraries, visas, etc)
  4. Booking restaurants and taxis
  5. Organising staff social events
  6. Processing expense claims
  7. Preparing any necessary marketing materials, updating Excel spreadsheets, and producing PowerPoint presentations
  8. Organising annual events to connect Junior Analysts with client counterparts
  9. Helping Analysts plan marketing calendars and keep up to speed with client information
  10. Working alongside other Assistants and the front of house team, covering for Reception/other Assistants where necessary
  11. Other ad-hoc tasks

Person Specification

  1. Experience in either a PA or team assistant role
  2. Experience managing diaries of busy people
  3. Highly organised, professional, and trustworthy
  4. Excellent inter-personal and communication skills
  5. Proactive and thoughtful approach
  6. Able to multitask and work to tight deadlines
  7. Flexible and calm under pressure
  8. Able to use discretion and tact, and carefully handle confidential information
  9. Sound judgement, initiative, and common sense
  10. Flexible approach and willingness to help cover for other assistants occasionally
  11. Good numeracy and attention to detail
  12. Strong Excel, PowerPoint, and Microsoft Office skills and a willingness to learn other packages such as CRM
