Job Summary
We are seeking a highly organized and detail-oriented Administrative Support Officer to join our team at the Northern Care Alliance NHS Foundation Trust. As a key member of our administrative team, you will provide a range of administrative and reception services to our Physiotherapy Service at Fairfield General Hospital.
Main Responsibilities
As an Administrative Support Officer, you will be responsible for:
- Greeting and receiving patients and visitors, providing a welcoming environment.
- Operating a patient booking system, offering patients a choice of appointments.
- Processing referrals, inputting patient details into computerized systems, and preparing notes for clinics.
- Dealing with patient queries by telephone and in person.
- Filing and archiving case notes.
- Monitoring stocks of stationery and office supplies.
- Opening, sorting, and distributing mail, including relevant email information and telephone messages.

Requirements
To be successful in this role, you will need:
- Education to GCSE level or equivalent, including Mathematics and English.
- Computer skills qualification, such as ECDL or CLAIT.
- Customer Service or Administration qualification, such as an NVQ.
- Working knowledge of Microsoft Office Outlook, Word, and Excel.
- Knowledge of Information Governance, with regard to maintaining confidentiality.
Desirable Skills and Experience
We are looking for candidates with previous experience in a reception or administrative role, preferably in a healthcare environment with patient contact. You should also have experience of working with office systems and procedures, as well as previous experience of data entry/input.
