Job Title: Pathway Fund Project Officer

We are seeking an experienced Project Officer to join our team in Omagh or Fermanagh. This is a Full-Time, Fixed-Term Contract until the 31st of March 2025 (with the possibility of extension). Working Hours: 37 hours per week. With a salary of £29,269 - £31,364 per annum - dependent on experience.

Job Role:

You will be responsible for promoting and developing high quality, evidence-informed early services for young children, their families and communities.

Main Duties and Responsibilities:
  1. To support assessment of a competitive grant application and award process for the allocation of the Pathway Fund in line with the requirements of the Department of Education.
  2. To support drafting award letters to successful and unsuccessful applicants; and provide administrative support at feedback clinics to unsuccessful applicants.
  3. Develop and maintain needs-led computerised and manual systems to ensure that all appropriate data, trends, statistics and performance measures are gathered, analysed and communicated.
  4. Assist with the development and maintenance of administrative support systems in delivering grant aid to community organisations across Northern Ireland.
  5. Assist with the execution of the Pathway Fund Advertising/Communications Strategy and prepare publicity materials including print, web and social media in adherence with lead funder guidelines.
  6. Develop and maintain an Issue Log to detail issues and concerns, actions taken and communication with projects held centrally and individually.
  7. Assist with the development of quarterly implementation, management, progress and financial reports to lead funding body.
  8. Provide support with data management, quality control and verification of payments.
  9. Assist with operational and financial issues in relation to funding and contractual agreements.
  10. Able to work in the absence of other staff and use initiative to prioritise workload.
  11. Assist with the development of the Pathway Fund Annual Reporting.
  12. Provide secretarial support to the Pathway Fund Team including planning and coordination of meetings, minute-taking, preparation of papers, and following up on actions.
  13. Develop and maintain computerised and manual filing systems that meet the needs of the Pathway Fund Team.
  14. Diary management of the Pathway Fund team and make appointments as appropriate.
  15. Complete text processing, photocopying, faxing, scanning and emailing duties to a high standard.
  16. Maintenance of Pathway Fund database and production of mail-merged Letters of Offer, guidance, general correspondence and reports from same.
  17. Production of reports in relation to analysis of project grants and technical assistance.
  18. Support the monitoring and evaluating of financial activities and ensuring overall programme objectives are met.
  19. Liaising with fund staff in relation to monitoring of expenditure/returns from projects supported under the DE Pathway Fund.
  20. Liaise with project staff.
  21. Perform general office duties, as required, including dealing with visitors/callers and appointments, stationery stock maintenance, provide catering for meetings, handling telephone, postal and email communications, and replying to all general queries regarding the work of the Pathway Fund.
  22. To represent the business as agreed with the Line Manager(s).
  23. To be committed to own and employees' personal development and growth.
  24. To provide the appropriate service and to treat all stakeholders in a courteous and respectful manner.
  25. To take part in and assist in the organisation of special events, outings, visits and any other activities as required.
  26. Be available for planning, review, support and appraisal meetings and any relevant training and staff development as required.
  27. To carry out any other duties as required.
