Administrative Services Specialist

We are currently seeking an experienced Administrative Services Specialist to join our team at Tri-County Ambulance Service, Inc. In this role, you will be responsible for assisting with day-to-day contract running, providing exceptional customer service, and maintaining relationships with clients. You will work closely with stakeholders to ensure the smooth operation of our contract management processes and deliver an outstanding service.
The ideal candidate will have a strong background in administration, including experience in completing quotations for additional works, administering web-based portals, and allocating works to contractors/engineers. They will also possess strong communication skills and be proficient in Microsoft Excel and Word.
This is an exciting opportunity for a highly organized individual who is passionate about delivering high-quality service to join our dynamic team. We estimate that the salary for this position will be around $65,000-$75,000 per year, depending on qualifications and location.
Key Responsibilities:
- Assist with day-to-day contract running, including administrative financial tasks.
- Provide exceptional customer service and maintain relationships with clients.
- Work closely with stakeholders to ensure the smooth operation of our contract management processes.
- Deliver an outstanding service and maintain high standards of customer service.
- Record and maintain Health and Safety information accurately.
- Ensure subcontractor documents and profiles are up to date within the ACIMS.
- Process quotes and close jobs after completion, ensuring financial accuracy and follow-on costs are accounted for.
- Liaise with subcontractors and labour to complete jobs in full and confirm costs.
- Approve invoices and chase direct labour and subcontractors for completed elements.
