Job Summary

The North Somerset Community Paediatric department is seeking a dedicated individual to assist with the day-to-day effective running of the department.

The post holder will be required to deputise in the absence of the admin manager and demonstrate strong leadership and organisational skills.

Key Responsibilities

  1. Organising own time and being clear and transparent in day-to-day working.
  2. Leading on coordinating weekly admin workflow, reallocating work during Annual Leave and Sickness, and ensuring the service continues to run effectively.
  3. Liaising with other professionals, departments, and services as required.
  4. Coordinating weekly, monthly, and quarterly monitoring returns alongside the Manager, helping to resolve all outstanding data queries.
  5. Identifying issues with processes, creating solutions, and implementing changes in conjunction with the wider team.
  6. Coordinating, monitoring, and supervising admin staff employed within the service, and reporting any concerns to the Management Team as necessary.
  7. Leading on developing working procedures and guidance for administrative team tasks.
  8. Ensuring the workload within the administrative team is delivered efficiently, accurately, and within set timeframes.
  9. Liaising closely with all members of the administrative team, providing leadership and direction.
  10. Direct management, including first level sickness management, grievances and discipline, appraisals, allocation of work, training, and development.
  11. Undertaking effective employee appraisals for all managed administrative staff, identifying and agreeing individual training needs and personal development plans in line with service objectives.
  12. Taking responsibility for own role, identifying any knowledge/skills gaps where additional support/training is needed.
