About the Role

We are seeking a highly organized and detail-oriented individual to join our Utilities Service team as a Service Operations Assistant. In this role, you will provide administrative support to the Utilities Service Supervisor and team, ensuring the smooth operation of our service contracts.

Key Responsibilities
  • Manage the Service Contract Database to ensure all contracts have regular servicing.
  • Assist with raising job sheets for regular services, including breakdown/repair quotations, day-to-day call-outs, and projects.
  • Maintain Framework Customers Monthly spreadsheets and produce a service work summary.
  • Quality check service reports and job sheets ready for invoicing.
  • Update generator records with new information, such as generator serial numbers.
  • Assist with booking services for customers.
  • Raise Framework Contract Service quotations.
  • Raise purchase orders if required.
  • Liaise with the Accounts Department regarding invoice queries and credit notes.
  • Assist with customer queries via phone or email, ensuring all Framework service level agreements (SLAs) are met in a timely manner.
  • File completed job sheets, Waste Transfer sheets, and other paperwork into electronic files.
  • Assist with producing Risk Assessments and Method Statements.
  • Check engineers' time sheets and liaise with Service Management.
  • Liaise with the HR Department regarding Security Clearances for engineers.
  • Arrange hotel bookings for engineers and managers.
  • Perform other administrative duties as required.
  • Provide holiday cover for other departments when needed.
  • Comply with the Company Health and Safety Policy and ISO 9001:2015 procedures.
Requirements
  • Excellent organizational and communication skills.
  • Proficient in Microsoft Office, including Word, Excel, and Access.
  • Strong numeracy skills.
  • A flexible and proactive approach.
  • A can-do attitude.
