We are seeking a highly organized and detail-oriented Workshop Administrator to join our team at Matt Burton. As a key member of our workshop operations team, you will play a vital role in ensuring the smooth day-to-day running of our depot.
Key Responsibilities- Customer Service: Provide exceptional customer service through face-to-face, phone, and general administration support and filing.
- Work In Progress Management: Manage the daily Work In Progress reports, ensuring that all jobs are correctly entered on the system and that WIP administration is controlled.
- Customer Query Resolution: Resolve customer queries where possible and bring them to the attention of the Workshop Controller/Workshop Manager.
- Booking Management: Deal with customer bookings, ensuring that we have a method for payment and that the correct line of authority and amount procedures are followed.
- Health, Safety, and Environmental Compliance: Work within Company-standards as well as Industry & Legal Health, Safety & Environmental standards at all times and without exception.
- Safe Systems of Work: Understand all Company Safe Systems of Work and adhere to them at all times.
- Job Card Management: Raise job cards on the correctly Inc. PO, customer authorization, etc. Raise service sheets on the workshop and any other relevant paperwork required.
- Holiday and Sick Cover: Provide holiday/sick cover for MOT, ATF, etc.
- Customer Documentation: Provide all customer documentation in a timely manner and maintain customer files.
- Order Management: Place orders on Sage as needed and liaise with suppliers, chase invoices, and keep accruals to a minimum.
- Despatch and Certification: Despatch Service Inspection Worksheets and copies of certification to customers as required.
- Accident Report Management: Ensure all vehicle Accident Report Forms are completed correctly and submitted.
- Productivity Hours: Input daily productivity hours.
- Cultural Environment: Contribute to the development and delivery of an effective and proactive cultural environment.
- ATF Lane Management: Manage on-site ATF lane (where applicable) for both internal and external bookings and the management of costs and revenue associated with this along with all administration associated with this task.
- 3rd Party Costs Management: Management and processing of all 3rd party costs and challenging and demonstrating cost-saving measures against this where possible.
- Customer Platforms Management: Management of customer platforms, i.e. R2C, so we are able to demonstrate 100% compliance and adherence.
- Intermediate IT Skills: Intermediate IT skills, specifically Excel, Word, Outlook, Teams, and experience of using other specialist in-house programs.
- Previous Administration Experience: Previous administration experience within the Automotive industry.
- Full UK Driver's Licence: Full UK driver's license advantageous.
