Job Summary

As a Facilities Services Coordinator, you will be responsible for assisting with the delivery of facilities services to customers and colleagues within our office. You will oversee the smooth day-to-day operations of our premises, ensuring a safe, efficient, and well-maintained working environment.

Main Responsibilities
• Manage email inboxes and filing systems, responding to queries and requests.
• Support the wider team as and when required, including chasing work orders, replying to emails, and making phone calls.
• Develop relationships with external suppliers, contractors, and sub-contractors to ensure statutory compliance and maintenance of service standards.
• Undertake post opening by midday each day, ensuring post is properly prioritised.

About the Role
In this interesting position, you will be responsible for managing the Facilities Desk, ensuring that all protocols and procedures are constantly adhered to. You will assist staff with the booking and coordination of meeting rooms, undertake messenger duties, including accepting deliveries, and order services and supplies as required. You will be responsible for supporting management in maintaining full compliance with health and safety regulations and ensuring the smooth operation of the premises. This will include acting as Incident Controller and First Aider, and liaising with the HMRC Estates Team to arrange training for first aiders, fire wardens, and other Health and Safety related training.

Person Specification
We are looking for a highly organised individual with excellent interpersonal skills and customer service experience. You will be comfortable working within a fast-paced environment, handling multiple competing priorities, and be able to confidently use initiative to re-prioritise tasks as required. You will have excellent communication skills, both verbally and in writing, and be able to adapt your communication approach to suit your audience. You will be willing to undertake Manual Handling Training and First Aid Training once in the role.
