Pertemps Scotland is recruiting a skilled Administrative Support Specialist to provide comprehensive support to a team of fee earners in our Edinburgh office. As a key member of the team, you will be responsible for producing accurate correspondence, managing diaries, and handling client matters. Your role will involve ensuring effective communication and organisation within the team, as well as providing administrative support to the PA Coordinator.

Key Responsibilities:
  • Correspondence and Document Management: Produce and amend correspondence, documents, and presentations using Microsoft Office and document management systems.
  • Client and Matter Management: Manage client and matter files, including opening, closing, and conflict checks.
  • Diary Management: Organise diaries, meetings, room bookings, catering, and IT support.
  • Email Management: Manage email accounts, including inboxes of absent fee earners.
  • Meeting Support: Take notes and manage attendance for team meetings.
  • Administrative Tasks: Assist with regular billing, invoice management, and payment tracking, as well as coordinate travel, hotel bookings, and expense claims.
  • Client Information: Maintain and update client and contact information.
  • Ad Hoc Support: Provide additional support to other divisions when required.
About You:
  • Organisational Skills: Strong organisational abilities with excellent attention to detail.
  • PA Experience: Prior experience as a PA or Executive Assistant.
  • Technical Skills: Confident in using Microsoft Office and document management systems.
  • Legal Sector Experience: Experience within the legal sector is advantageous but not essential.
